BODYBAR Pilates is a fast-growing boutique Reformer Pilates franchise, and we’re looking for a Fitness Coordinator to help keep our instructor training, certification, and education programs running smoothly across our studio network.
You’ll be the person who connects the details, coordinating training schedules, keeping certification records accurate, supporting our digital learning platforms, and making sure instructors and studio teams have what they need to move forward.

What You’ll Do
Keep Training & Education on Track
- Coordinate schedules for instructor training, certification evaluations (“test-outs”), and continuing education across the BODYBAR studio network.
- Maintain training calendars, event materials, and communications so instructors and studio teams know what to expect.
- Connect studio owners, Fitness Managers, instructors, Master Trainers, and Evaluators to keep programs moving smoothly.
- Partner with the Manager of Fitness Training, who you’ll report to, to support education initiatives and new fitness programming.
Coordinate Certification & New Studio Readiness
- Manage the test-out workflow, including submissions, Evaluator assignments, conflict-of-interest routing, results, and follow-up.
- Coordinate training and certification logistics for new studio openings, including scheduling cohorts and setting up platform access.
- Maintain accurate instructor certification records, track continuing education and recertification status, and flag outstanding requirements or upcoming expirations.
- Summarize results, pass rates, and participant feedback to help the Manager of Fitness Training identify trends and address concerns.
Own the Platforms & Details
- Administer BODYBAR’s Learning Management System (LMS) and Instruct app, including course setup, enrollment, accounts, and user permissions.
- Help instructors and studio teams resolve access issues, and coordinate with vendors when technical support is needed.
- Keep records accurate across platforms and verify that instructor access aligns with certification status.
- Turn platform data into clear reports on course usage, completion, and certification progress.
Support Our Master Trainers & Evaluators
- Coordinate assignments, availability, workloads, schedule changes, and cancellations.
- Support new Evaluator onboarding through scheduling, system access, and orientation logistics.
- Anticipate training and evaluation needs as the studio network grows, and flag capacity gaps to the Manager of Fitness Training.
- Review invoices against completed assignments and approved engagements, and help resolve discrepancies.
Build Processes That Scale
- Maintain and improve departmental workflows, standard operating procedures, templates, and tracking tools.
- Identify ways to reduce manual work, improve visibility, and prevent missed deadlines.
- Prepare and process training and evaluation invoices, and coordinate payment tracking and reconciliation with Finance.
- Support department projects, new initiatives, and day-to-day operations with reliable follow-through.

What We’re Looking For
- 3+ years of experience in business coordination, operations support, or administrative project management.
- An associate’s degree in Business Administration, Education, Kinesiology, or a related field. A bachelor’s degree is preferred.
- Prior experience using Learning Management Systems or instructor-facing digital platforms.
- Experience administering digital platforms or apps in a training, education, or multi-location environment.
- Experience coordinating certification, credentialing, or continuing education programs, including completion tracking, Evaluator logistics, and reporting.
- Proficiency in Google Workspace, including Docs, Sheets, Slides, Meet, Calendar, and Gmail.
- Strong written and verbal communication, attention to detail, and the ability to manage competing priorities.
- Comfort organizing and analyzing platform data and presenting clear summaries to department leadership.
Preferred: Experience in fitness or franchising, familiarity with Pilates or group fitness, and experience with BODYBAR Instruct or similar fitness instruction apps.
Compensation & Schedule
- $55,000 to $60,000
- Hybrid schedule with a minimum of 2 days per week at our Fort Worth, TX headquarters.
- Additional office presence may occasionally be needed for collaboration, training activities, events, and other business needs.
- Occasional, infrequent travel may be required for studio openings, training and continuing education events, company meetings, or conferences.
